The AI assistant

The four places GarageFlow can draft for you (inspection findings from photos, quotes for inspection findings, replies to customers, replies to Google reviews), what is sent, and why nothing is used without a person.

Actualizado el 13 de octubre de 2026

GarageFlow can draft four things for you. In every case it writes a draft that appears on screen; a person reads it, changes what needs changing, and decides whether to use it. Nothing the AI writes is used, sent to a customer or posted publicly on its own.

Incluido en Pro

The drafts are written by Claude, an AI model made by Anthropic.

Inspection findings from photos

On an inspection item that has photos, press Draft from photos. The AI looks at the item's most recent photos (up to four, in the order they were taken) and drafts two things:

  • a suggested status for the item, and
  • the note the customer will read beside the photos on their inspection report.

It also tells you what to check before you use it (Before you use it:), because a photo can't show everything a mechanic can feel or hear. If the photos don't show enough to judge, it says so instead of guessing, and leaves the status empty.

Press Use this to put the status and note on the item, then edit them like anything else, or Dismiss to throw the draft away.

Nota

Only photos are used. Videos on the item are left out: a mechanic's clip is usually about a sound, a knock or a squeal, that still frames would lose. Photos are resized before they're sent, which also removes the location a phone stores inside a picture.

The draft matters because of who reads it: the note goes to the customer, and a failed status is a repair you're about to ask them to pay for. That's why it never applies itself. See digital inspections.

Quotes for inspection findings

On the Inspections tab, Quote findings with AI drafts a quote for each flagged finding: one of your canned services, or labor and parts from your inventory, or nothing when the finding needs a diagnosis first. The AI chooses from your catalog; it never sets a price, and it never makes up labor hours. Each draft sits on its finding until someone presses Add to estimate or Dismiss.

When a customer asks for quotes on their page, these drafts are made automatically, so they are ready when you open the order. Adding them to the estimate is still a person's click. See digital inspections.

Replies to customers

In a conversation in the inbox, Draft a reply with AI writes the shop's next reply and puts it in the message box. Read it, edit it, and send it yourself, or delete it. It's based on the recent messages in that conversation, with the customer's name, the vehicle and your shop's name for context. See talking to customers.

Replies to Google reviews

In Review Manager, Draft with AI writes a reply to a review for you to edit. It's only posted to Google when you send it. See reviews and campaigns.

What is sent, and what isn't

Only what a draft needs is sent to Anthropic, and only when someone presses the button:

DraftWhat is sent
Inspection findingUp to four photos of that item, the item and inspection names, the vehicle's year, make and model, the mileage at check-in, and any notes already written on the inspection. No customer details.
Customer summaryThe inspection's findings with the technician's notes and readings, the names of the checks that passed, which findings are already priced, and the vehicle's year, make and model. No customer details, no prices.
Quotes for findingsThe flagged findings with the technician's and the customer's notes on them, the vehicle and mileage, your canned services, the inventory parts that match the findings, and what you quoted for the same findings before. No customer name or contact details.
Reply to a customerThe recent messages in that conversation, the customer's name, the vehicle and your shop's name
Review replyThe review text, the reviewer's name as Google shows it, the star rating and your shop's name

Data sent for drafts is not used to train Anthropic's models. Drafts are made when someone presses the button, with one exception: quotes for the findings a customer asks about on their page are drafted as soon as they ask. A shop on a plan without the AI assistant never sends anything. The details are in our privacy policy.

On Basic and Growth

The AI assistant is included from Pro. On lower plans the buttons don't appear.

Troubleshooting

"Draft from photos isn't there." The item needs at least one photo, and your plan needs to include the AI assistant.

"It says the photos don't show enough." Take a closer or better-lit photo of the part itself and try again. Or write the finding yourself: the draft is a shortcut, not a step.

"AI drafting isn't set up yet." The AI isn't switched on for your account. Contact support.

"The draft was cut short" or "didn't return a usable draft." Press the button again. Each attempt is independent.
