There are two kinds of extra charge in GarageFlow. Shop supplies and shop fees are set once and added to every order on their own. Fee and discount lines are added by hand, to one service on one job.
Shop supplies
Shop supplies cover the rags, cleaners and small consumables no one itemizes. Set the percentage under Settings → Tax & Invoicing → Shop supplies. It's a percentage of the labor on each order, so a job with 400 of labor and a 5% supplies charge gets 20 added.
- Set it to 0 to charge nothing. Every shop starts at 0.
- There's no cap: a big labor job gets a big supplies charge.
- A job with no labor gets no supplies charge.
It shows as Shop Supplies in the order's totals and on the estimate and invoice.
Shop fees
A shop fee is a named charge added to every order: an environmental fee, a disposal fee, a hazardous waste fee. Add them under Settings → Tax & Invoicing → Shop fees with Add fee.

% of subtotal is a percentage of all the billed work on the order (labor, parts, tires, sublet and fee lines, less discounts), before shop supplies and tax. A Fixed amount fee is added to every order, even one with a single part on it.
Each fee shows under its own name in the order's totals and on the documents.
Note
Shop fees can't be taken off one order. They apply to every order the shop has, or, switched off, to none. For a customer you don't want to charge, add a discount to the job instead.
How shop supplies and shop fees are taxed
They aren't. Both are added after tax, so they never enlarge the amount tax is charged on. If your tax rules say they should be taxed, build that into the percentage or amount you charge. See tax and VAT.
Changing them
A change to the supplies percentage or to any shop fee re-prices every estimate and every order that hasn't been invoiced, straight away. Issued invoices keep exactly what they charged.
Changing them needs the Manage the shop profile permission, which only owners have by default.
Fees and discounts on a single job
Adding a fee line
Open a service's add menu and choose Fee. Give it a name and pick a Fee Mode:
- Fixed amount: a set amount.
- Percent (%) of service: a percentage of that service's lines, before any discount.
- Percent (%) of line item: a percentage of one line in the service, chosen under Target Line Item.
A percentage fee works out its amount when you save, and again whenever the lines it's based on change. Taxable decides whether the fee is taxed, and starts switched on.
Discounts
- On one line: the Discount column on a labor or part line takes a percentage or an amount off that line.
- On a whole service: Discount at the foot of a service takes a percentage of the service, or an amount, off its total.
A discount lowers the amount tax is charged on, rather than being taxed itself.
Tip
A charge or discount you give with the same job every time belongs in a canned service. Canned services can carry fee and discount lines, so Add Fee or Add Discount once there and every job built from it starts with them.
Adding a fee line needs both Add and remove work and Change what work costs. Discounts need Change what work costs. Owners and managers have both by default.
Troubleshooting
"Shop supplies aren't on this order." The percentage is 0, or the order has no labor. Supplies are a percentage of labor only.
"A fee is on an order it shouldn't be." Shop fees apply to every order. Add a discount to that job, or switch the fee off under Settings → Tax & Invoicing.
"Shop supplies aren't taxed." By design: they're added after tax.
"I changed a fee and an old invoice didn't change." Issued invoices keep what they charged. Open estimates and orders picked up the change.
"My percentage fee shows no amount." It's worked out when you save. Save the fee, or give the lines it's based on a price.
"I can't add a fee or a discount." Your role needs Change what work costs, and for a fee line Add and remove work too.
