Running several locations

How a group of shops works on Enterprise. Switching between locations, headquarters' Overview, People, Locations and Settings, what each location keeps for itself, and one invoice for the group.

Updated October 18, 2026

On Enterprise, a group of shops runs as one organization. Each location is a complete GarageFlow shop of its own, with its own team, orders, customers, invoices, settings and document numbers. Headquarters sits above them: one place to see every location's figures side by side, decide who works where, and set the logo and payment methods for all of them.

Getting set up

Multi-location is set up with you rather than bought online, so Enterprise's row in Change plan says Contact us. We open headquarters and name its first admins, bring in the shops you already run on GarageFlow, and open new ones. Opening another location later goes through us too; the Locations page at headquarters shows how many your agreement allows.

Nothing is billed twice. If a shop was paying for its own plan, that subscription ends when the group's agreement takes it over, and the time it had already paid for is credited.

Switching between locations

Anyone who can reach more than one place gets a menu on the shop name at the top of the sidebar: Headquarters first, for the people who have access to it, then Locations, each with its city. Pick one and everything follows: the board, orders, customers, reports and settings are that location's.

  • GarageFlow remembers where you were and opens it the next time you sign in.
  • Each browser tab keeps its own location, so two locations can be open side by side.
  • A suspended location is listed but can't be picked.
  • In the tech app, Switch shop does the same. It opens at the location you last chose, and headquarters isn't offered there.

Note

Customers, vehicles and their history belong to the location that served them. They aren't shared between locations, and neither are canned services, matrices, inventory or the workflow board.

Headquarters

At headquarters the sidebar shows only headquarters' pages. Which ones depends on the person's role there:

Overview

Every location in one table, for the period you choose, from Today to All time. Each row is that location's own Sales Summary report, so it matches what the location sees under Reports:

  • Orders: orders created in the period, estimates included.
  • Sales: net sales, before tax and after discounts.
  • Avg order value, Profit and Margin, worked out from those.
  • Open now: repair orders approved and not yet invoiced, whatever the period.

The totals above the table are kept per currency: locations that bill in different currencies are never added together. Each location counts its days in its own time zone, so "Today" ends at each location's own midnight.

Open on a row switches you into that location, if you have access to it.

People

Who can work at headquarters, and at which locations. Add person asks for an email: someone already on one of your teams gets access straight away, and anyone else gets an email invitation. Each person has three settings:

  • Headquarters: Admin (everything at headquarters, including People and Settings), Manager (every location's figures and the Locations page), Viewer (every location's figures, and changes nothing), or No headquarters access for someone who only works at locations.
  • Locations: All locations, including new ones, Chosen locations, or No locations.
  • Role at these locations: Owner, Manager or Mechanic, the built-in roles. A shop's own custom roles aren't offered, because each one belongs to a single location. Where someone is already on a location's own team, they keep the role that location gave them.

The access is added to each location's team, where it carries an HQ badge. The location can still set what that person costs it, but only headquarters can change their role there or remove them. Remove access takes away headquarters and every location headquarters gave them; a place on a location's own team stays.

Two changes are refused: one that would leave the organization without an HQ admin, and one that would leave a location with nobody able to manage its team.

People headquarters adds start with only the notifications every role has to get, so a regional manager isn't flooded by ten locations at once. They can turn on the rest, location by location, in their own notification settings.

Locations

Every location with its address, legal entity, document numbering, number of people and how it is billed. An admin can give each one a location code of 2 to 6 letters or digits, shown beside its name across headquarters and offered as the start of its document prefixes. Everything else on this page is changed in the location's own settings.

Invoice numbers that would clash

Each location numbers its own documents. So two locations that share a VAT ID and also share an invoice or credit note prefix would issue the same numbers. The Locations page marks them Same as the other location and suggests a prefix to use instead.

A location's settings refuse a change that would create a clash, whether that is a prefix another location with the same VAT ID already uses, or a VAT ID that would line up with another location's prefixes. A clash that was already there when the shops joined blocks nothing else, but fix it, in that location's Branding & Documents, before either issues another invoice.

Settings

What headquarters sets for every location. Everything else stays each location's own. Only HQ admins see it, and a change applies to every location the moment you save, and to any location that joins later.

Branding is either Each location (the default) or Headquarters. With Headquarters, you upload one logo (PNG, JPEG or WebP, up to 2 MB) and choose what every document shows: the logo, and each location's own phone number, email address and website. Every estimate, repair order and invoice then carries them, and the location's Branding & Documents says Set by headquarters for every location and can't change them. Document numbering stays each location's. A location whose plan doesn't include custom branding keeps its own, and the page names it; locations billed through your agreement always include it.

Payment methods decide how staff record a payment. Each method is Optional (each location decides), Always on (added to any location that doesn't have it, and can't be switched off there) or Always off. You can add your own, such as Financing. At a location these methods carry an HQ badge; the location can still rename one. Removing a method from headquarters' list leaves it with the locations that have it, as their own.

Billing

The group has one agreement with GarageFlow and gets one invoice, in euros, for every location on it. Pay each invoice by card, SEPA Direct Debit or bank transfer, or have it charged to a card automatically.

  • Each location's Subscription & Billing page says Billed through your organization and has nothing to change.
  • Seats are shared by every location: a person counts once, however many locations they work at.
  • A location added during the term is prorated on the next invoice. One that leaves comes off at the renewal, down to the number of locations your agreement commits to.
  • If the group's invoice is overdue, its locations keep working while it is settled.

When a location leaves the group

Ask us and we detach it. Its people keep their access: what headquarters gave them becomes the location's own, managed on its own team page. It is no longer billed through the group, so its owner chooses a plan on its billing page. Headquarters itself can't be detached, and neither can a group's only location.

Troubleshooting

"I don't see the location menu." It only appears when you can reach more than one place. Ask an HQ admin to give you access under People.

"I can't change someone's role on my team." They carry an HQ badge: headquarters gave them that access, and only headquarters can change it. You can still set what they cost you.

"Branding & Documents says Set by headquarters." An HQ admin chose Headquarters under Settings → Branding. They can switch it back to Each location.

"Saving a prefix says another location has the same VAT ID." The two would issue the same invoice numbers. Use the prefix the message suggests, or any other the other location doesn't use. See invoice numbers that would clash.

"Overview's totals don't match a location's report." Check the period and the currency: totals are kept per currency, and each location's day ends at its own midnight.

"I want to open another location." Contact us. Your agreement sets how many locations the group can have, and we open each one.
